Managing Your Trusted Trader Portal Account
PIP Dashboard
Activating your Trusted Trader Portal (TTP) account will bring you to the PIP Dashboard screen where
you can review, enter, maintain, and submit your data.
There are five areas for managing your account:
-
1. Company Profile
In the Company Profile screen, users must record their basic company details, including identifying
information, company contacts, and any addresses associated with the account. Select Edit Company
Profile to input or update your corporate information. -
2. Add and Manage Users
New users can be added to assist in the completion of any required content in the TTP. While you should
not share your GCKey username and password, in order to be added as a user to your company's TTP
account you may share your User Reference Number (URN), family name, and e-mail address with your
Account Owner, Proxy Account Owner or a Full Access User. To add or delete users, or to manage user
capabilities and roles, select Add & Manage Users. See below for information on different user roles
and responsibilities. -
3. Application Profile
Accounts are managed by mode/line of business. Users can manage all lines of business that fall under the same
Trusted Trader account in the Application Profile screen. To indicate how your application is organized, select
Edit Application Profile.Organizing Account by Line of Business
Separate Application Profiles must be created for each mode or line of business that the applicant
or member operates. A company that conducts business as an importer and a highway carrier, where both
lines of business function independently under the same legal entity, is an example of a business that
must apply with multiple Application Profiles. In this example, the member or applicant could choose
to include both an importer Application Profile and a highway carrier Application Profile under the same
Trusted Trader account by clicking More in the upper right-hand corner of the Company Profile
field to display a drop down menu. Select Add New Application. In order to create a separate
Application Profile, a unique client identifier, such as a carrier code or Business number (example:
123456789 RM0001), will be required.Penalty Administration in the TTP
Membership penalties and terminations, including suspensions, cancellations, and denials, are
administered at the Application Profile level. It is for this reason, that members and applicants structure their accounts by line of business.
Troubleshooting
The TTP will reject requests to add a new Application Profile if the same client identifier, such as
a business number or carrier code, is:-
duplicated across multiple Application Profiles or Trusted Trader accounts.
-
associated with existing PIP membership accounts with a status of "approved," "application
processing," or "suspended."
-
associated with PIP membership accounts that have been denied or cancelled and the
timeframe barring reapplication has not lapsed.
-
duplicated across multiple Application Profiles or Trusted Trader accounts.
-
4. Security Profile
PIP members and applicants must complete a new Security Profile in the TTP. The Security Profile is the
portion of the PIP application in which companies provide specific information on their supply chain and
security practices. This information is verified by the CBSA and used to determine membership eligibility.
The Security Profile is a comprehensive document and users may save their changes to continue working
at a later time. Users may also discard any changes in a session by clicking Cancel. The TTP also allows
users to add attachments to support responses where necessary. There is a quick navigation bar on the left side of the screen that allows users to jump between Security
Profile sections, as well as navigation buttons that allow users to easily move within the section
currently being worked on. When a Security Profile section has been completed, a green checkmark will
appear beside that section in the navigation bar. An overall progress bar is also displayed at the top of
the selected section. To begin filling out your company's Security Profile, select Get Started.
-
5. Notifications
The Account Owner and Proxy Account Owner will see an additional notification banner on the PIP
Dashboard that will display important messages and identify some required content that must be
completed. Account Owners and Proxy Account Owners may also view these notifications in the "My
Messages" screen where they can view all notifications related to a single Application Profile.
Requesting Harmonized Membership with C-TPAT
If your company is based in the United States, you will be redirected to apply for harmonization through
the Customs-Trade Partnership Against Terrorism (C-TPAT) portal. Only Canadian-based companies can
apply for harmonization through the TTP, unless they have existing accounts in C-TPAT, and have not yet
applied for a PIP account. In this situation the client must request harmonization through the C-TPAT portal.
Canadian applicants should follow the instructions for completing their applications provided on the
Getting Set Up in the TTP help webpage www.cbsa-asfc.gc.ca/prog/tt-nf/help-aide-eng.html. Once in the portal,
navigate to the Application Profile screen and select the Application Organization tab. Under Do you intend to
Harmonize with C-TPAT, select the Yes button.
Refer to sections 1 - 5 above for instructions on completing the remainder of your application. Once the
application is complete and ready to be submitted, follow the instructions below for Submitting a
Completed Application. All Harmonization applicants must consent to information sharing with the C-
TPAT program through the Certification and Authorization to Disclose Information (CADI) form. This
form is displayed as Step 2 for submitting an application. Clients that have indicated an intention to
harmonize will find that the buttons for information sharing with the United States will be automatically
defaulted to Yes.
Submitting a Completed Application
When all sections of the Company Profile, Application Profile, and Security Profile have been completed,
the PIP Dashboard will display green checkmarks beside each section title, as well as a notification that
all required content has been entered, which indicates that your application is ready to be submitted.
The Account Owner can then submit the completed application using the green Submit Application
button that will appear at the bottom of the Dashboard once all required information has been entered.
After clicking Submit Application, a summary page will be displayed for the user to review all material
contained in the submission. If all information is correct, the Account Owner may click Continue. The
TTP will then display the Certification and Authorization to Disclose Information (CADI) form, through
which the Account Owner consents to information sharing with the CBSA's mutual recognition
arrangement partners. The Account Owner must review the information and complete all sections of
the CADI prior to selecting Submit PIP Application. A successful submission page will be displayed after
the application has been submitted.
If additional content is required after the application has been submitted, the Account Owner will
receive an alert in the notification banner at the top of the PIP Dashboard and the primary contact
listed in the Application Profile page will be contacted.
Please note: The "Submit Application" button will only appear when your application completion
reaches 100%. Submitting your information to the PIP program means that the updated application is
complete and ready for verification.
User Roles and Responsibilities
You must select a user role for each user added to your TTP account. Different TTP users are afforded
varying levels of access and editing permissions.
The Account Owner is a person who acts in an official capacity, such as a company director, executive,
manager, or other individual, and is considered to be the authorized company officer with signing
authority.
Account Owners are able to:
- view, edit, and add users
- view and update the Company Profile, Application Profile, and Security Profile
- view membership status and notifications
Only the Account Owner can consent to the PIP Terms and Conditions of Use, and Certification and
Authorization to Disclose Information (CADI) forms. Also, the Account Owner is the only user who can
submit account or application updates to the program. The Account Owner must consent to the CADI
upon each update or application submission.
If the current Account Owner needs to be replaced by a new authorized company officer, click More in
the upper right-hand corner of the Company Profile field to display a drop down menu. Select Reassign
Account Owner. The new Account Owner may be selected from existing company contacts within the
portal, or a new contact can be added by providing the new contact's last name, URN, and e-mail
address.
The Account Owner may delegate some of their responsibilities to one or more Proxy Account Owners.
A Proxy Account Owner is able to:
- view, edit, and add users
- view and update the Company Profile, Application Profile, and Security Profile,
- view membership status and notifications
Proxy Account Owners may not consent to the PIP Terms and Conditions of Use or the CADI, but will be
able to view system notifications displayed on the PIP Dashboard and in the "My Messages" screen.
Full Access Users are able to view, edit, and add users, as well as view and update the Company Profile,
Application Profile, and Security Profile. These users will not see system notifications in the PIP
Dashboard and may not submit information updates to the program.
Users are able to view other users, as well as view and update the Company Profile, Application Profile,
and Security Profile. These users will not see system notifications in the PIP Dashboard and may not
submit information updates to the program.
Admin-Only Users are able to view other users, as well as view and update the Company Profile and
Application Profile. These users will not see system notifications in the PIP Dashboard and may not
submit information updates to the program.
